ITIN & EIN Application Services in the UK
Home/ITIN & EIN Application Services in the UKNeed an ITIN or EIN from the UK? Independent paid service: KBA is an independent accountancy firm, not the IRS or a government department. Our fees are for optional professional assistance. IRS acceptance-agent status does not guarantee approval or processing times. You can also apply for an ITIN directly using the IRS instructions. KBA helps you confirm the application route, prepare the information and understand the next steps. Tell us why you need the number and any deadline you are working towards.
ITIN application support: £299 per applicant. For a standard eligible application, this includes review of your stated tax purpose and supporting information, CAA document authentication within the permitted scope, Form W-7 preparation, submission and agreed follow-up.
EIN application support: £149. For one straightforward entity, this includes preparation of the entity and responsible-party information, application assistance and an agreed handover.
Professional fees are in GBP and exclude VAT where applicable. Any tax-return work, additional support, package inclusions and the total payable are confirmed in writing before you commit. View fees and scope.
Find Khuram Barvi & Accountants Ltd in the official IRS list of UK acceptance agents. We confirm the document route and appointment availability with you. The IRS decides each application.
ITIN or EIN: which do you need?
An ITIN is for an individual
An Individual Taxpayer Identification Number is for someone who needs a US federal tax number and is not eligible for a Social Security number. A documented tax purpose matters; wanting a US company or bank account does not by itself establish eligibility.
An EIN identifies a business
An Employer Identification Number is a federal tax identifier used by businesses and certain other entities. It is separate from company formation and from an owner’s personal tax number.
ITIN applications and CAA document support
We help organise the Form W-7 application, its stated tax purpose and supporting documents within the agreed engagement. Applications normally accompany a US federal tax return unless an IRS exception applies. If you think an exception applies, bring the evidence explaining your situation.
A Certifying Acceptance Agent can authenticate permitted identity and foreign-status documents under IRS rules. This can allow eligible applicants to retain original documents rather than send them to the IRS. The documents and process differ for primary applicants, spouses and dependants; not every document can be authenticated by a CAA.
We confirm the applicable document route before you send anything. See the official Form W-7 instructions and IRS application guidance. We can also discuss whether an existing ITIN needs renewal for the return you intend to file.
CAA appointment, Acceptance Agent or mail: choose the route first
The document route affects what you prepare and whether identity documents need to be sent to the IRS. The IRS lists three in-person options—an IRS Taxpayer Assistance Center, a participating VITA site or an Acceptance Agent—and also permits applications by mail. US-based appointment services may not be practical for a UK applicant.
- UK Certifying Acceptance Agent (CAA): a CAA can help complete and review Form W-7, authenticate most permitted identity and foreign-status documents, return authenticated documents at the end of the appointment and submit the application package. KBA is included on the IRS list of UK acceptance agents.
- Non-certifying Acceptance Agent: an Acceptance Agent can help with Form W-7 and submission, but cannot authenticate supporting documents.
- Application by mail: the package normally includes Form W-7, the federal tax return unless an exception applies, and original supporting documents or copies certified by the issuing agency. The IRS says mailed supporting documents are normally returned within 60 days, but applicants should consider the practical risk of being without an original document.
Important limitation: a CAA cannot authenticate a foreign military identification card. For dependants, a CAA can authenticate passports and birth certificates, but other supporting documents generally need to be mailed. We therefore check every applicant and document before confirming the route; we do not promise that no originals will ever need to be sent.
What happens at a CAA appointment?
- We confirm the tax purpose, whether a return or exception evidence is required, and which family members are applying.
- Each applicant attends with the supporting documents requested for that person. Do not send sensitive originals in an initial enquiry.
- We check Form W-7 details against the documents, review permitted originals and explain any item that must follow a different route.
- After signatures and final checks, the application package is submitted. The IRS—not the CAA—decides whether to issue the ITIN.
How to choose an ITIN acceptance agent in the UK
Before paying an agent or sending identity documents, check the service against the IRS route for your application. The IRS lists Khuram Barvi & Accountants Ltd in its United Kingdom acceptance-agent directory. A directory entry is a useful verification step, but you should still confirm the role, scope and document arrangements for your case.
- Verify the current IRS listing. Search the official United Kingdom directory for the provider’s legal or trading name. Avoid relying only on an advertisement, badge or screenshot.
- Confirm whether the provider is acting as a CAA or an Acceptance Agent. A CAA can authenticate most permitted supporting documents and return them after the appointment. An ordinary Acceptance Agent can help with Form W-7 and submission, but does not authenticate supporting documents.
- Ask what the quoted fee covers. Confirm whether it includes the Form W-7 review, document authentication where permitted, submission, follow-up and any US tax return or exception analysis. Tax-return preparation, additional applicants and work outside the agreed scope may be separate.
- Agree the document route before sharing originals. Ask who must attend, which originals are needed, how documents will be returned and whether any item must be mailed. Special limits apply to foreign military identification and some documents for dependants.
- Check the follow-up process and realistic timing. The IRS decides the application. Its current guidance says to allow seven weeks for notification, or nine to eleven weeks during 15 January to 30 April and for overseas applications.
What to tell KBA before an appointment is confirmed
- How many people are applying and whether any applicant is a dependant.
- The reason for the ITIN, the relevant tax year and whether a US tax return or an exception may apply.
- The identity and foreign-status documents available for each applicant.
- Any previous ITIN, IRS notice, filing deadline or planned travel involving an original passport.
Do not send full passport scans or complete tax records in an initial enquiry. KBA will first confirm the likely route, the information needed and the proposed scope. This does not guarantee that the IRS will issue an ITIN.
Ask KBA to check your ITIN route and appointment requirements.

EIN applications for UK and overseas founders
We help prepare the business and responsible-party information for Form SS-4 and identify an appropriate application route. The IRS online application has eligibility restrictions, including where the principal business is located. International applicants may need to apply by phone, fax or mail.
An ITIN is not automatically required before every EIN application. Where the responsible party does not have an SSN or ITIN, we check the circumstances against the current Form SS-4 instructions. Read our EIN guide for founders without an SSN or ITIN for the questions to prepare.
If you have not formed the business yet, start with our US company incorporation service. If the business already has an EIN, tell us before starting a new application.
Before an international EIN application: five checks
Scope: US federal EIN applications for UK and other non-US founders, checked against IRS guidance current on 26 October 2026. Entity classification and federal or state filing duties still depend on the facts.
- Form the entity first. If you are creating a corporation or LLC, the IRS says to form it through the relevant secretary of state before applying for an EIN. Use the legal name exactly as it appears on the formation document.
- Name the actual responsible party. This is generally the individual who ultimately owns or controls the entity or exercises effective control over its funds and assets. A nominee or registered agent is not a substitute for that person.
- Check line 7b rather than assuming an ITIN is required. The December 2025 Form SS-4 instructions say to enter “foreign” or “N/A” when the responsible party has no SSN or ITIN and is ineligible to obtain one. An entry is still required, and the correct treatment should be checked against the applicant’s facts.
- Choose the route by the principal place of business. The IRS lists phone, fax and mail routes for international applicants whose principal place of business is outside the United States. Its current EIN guidance also limits issuance to one EIN per responsible party per day.
- Keep the assignment evidence and plan the next filings. An EIN is the federal identifier; it does not form the company, guarantee a bank account or complete the entity’s tax and information-return obligations. Keep the IRS assignment notice with the company records and review the filing position separately.
Illustrative example: UK founder with no SSN or ITIN
Assume a UK-resident individual has formed a US LLC and is the person who ultimately controls it. The sequence is to confirm the formation details and legal name, identify the founder—not a nominee or registered agent—as the responsible party, check the line 7b treatment under the current SS-4 instructions, and use an international application route where applicable. The founder should not apply for an ITIN solely because the business needs an EIN: ITIN eligibility is separate and requires its own US federal tax purpose. The LLC’s classification and ongoing US filing obligations then need a separate review.
How your application support works
- Tell us the purpose. Explain why you need the number, your country of residence and any relevant return, transaction or business.
- Confirm eligibility and scope. We review the facts, identify the documents needed and quote for the agreed work, including return preparation if required.
- Prepare and check the application. Supply the requested evidence through the agreed document process and review the details before signing.
- Keep the records. Retain copies and IRS correspondence. Tell us promptly about an IRS query so we can discuss the next step.
What to prepare before speaking to us
- For an ITIN: the US tax purpose, relevant tax year, whether you are eligible for an SSN, details of any earlier ITIN and the identification documents available.
- For an EIN: the entity’s legal name, formation details, business activity, addresses, ownership and responsible-party information.
- For either: relevant IRS notices, previous applications and any deadline you are working towards.
Use the consultation form for a brief summary. Do not put passport images, tax numbers or other sensitive records in the initial enquiry; we will agree the document arrangements with you.
ITIN and EIN questions
How long does an ITIN application take?
The IRS currently says to allow seven weeks for notification. It can take nine to eleven weeks during tax season (15 January to 30 April) or when applying from overseas. Queries or missing evidence can affect progress. Check the IRS’s current guidance when planning; KBA cannot guarantee an issue date.
How much does application support cost?
Standard ITIN application support is £299 per applicant, and straightforward EIN application support is £149, excluding VAT where applicable. Tax-return work, additional support and responses to IRS queries are quoted separately where needed; we confirm the agreed scope and total before you commit. The IRS issues EINs free of charge.
Does an ITIN allow me to work or live in the US?
No. An ITIN is a federal tax-processing number. It does not provide immigration status or work authorisation. A bank or other institution also makes its own account-opening decisions.
Can you renew an old ITIN?
We can help assess whether renewal is needed for your intended filing and discuss the application. An old number does not always need immediate renewal. See our ITIN renewal checklist and bring the earlier IRS notice if available.
Do I need a new EIN after changing an address or responsible party?
A change does not automatically mean applying for a new EIN. Explain what has changed before submitting an application. Our Form 8822-B guide explains how to approach updates to IRS business records.
Do I need to send my passport to the IRS?
Not always. A Certifying Acceptance Agent can authenticate most permitted documents and return authenticated originals at the appointment. Limits apply, especially for dependants and foreign military identification, so the route must be confirmed from your own document set. A mail application may require originals or copies certified by the issuing agency.
Not sure where to start? Request an ITIN or EIN consultation. Include the purpose of the application and any relevant deadline. KBA will confirm availability and the next step.
