Finding an old ITIN letter does not establish that the number is still active, but an old issue date does not automatically mean a renewal is needed either. Start with how the number has been used and what you now need it for.
Scope: US federal ITIN rules, including planning for a 2026 tax return. Guidance checked on 11 September 2026. The relevant return year and your individual eligibility should be confirmed before applying.
Check use on federal tax returns
The IRS says an ITIN expires on 31 December of the third consecutive tax year if it has not appeared on a US federal tax return during those three tax years. An expired number must be renewed before it is used again on a federal tax return. IRS: Form W-7 instructions.
Prepare a year-by-year list from your actual return copies. Record the tax year printed on each return, whether the ITIN appears, and any IRS correspondence about its status. Do not rely solely on the year you remember posting paperwork.
If a return was amended, filed late or is still unresolved, show that history to the person checking the renewal. Establish the position before treating a gap in your records as proof that the number expired.
An information return is a different use
The IRS says an expired ITIN can continue to be used on information returns reporting payments, such as Form 1099. If that is its only use, renewal is not required for that purpose. If it will be included on a federal tax return, the renewal question changes. IRS: how to renew an ITIN.
Illustrative comparison. Two people each hold an expired ITIN. One receives a payment statement but has no federal tax return on which the number must be included; the other needs to include the number on a federal tax return. The renewal decision is different even though both still have their original ITIN letters.
This comparison is not a decision about whether either person must file a return. A payment statement by itself does not settle the recipient’s filing obligations. Have that question assessed separately.
Do not treat a forgotten number as a new application
If the number is lost, check earlier returns and IRS letters rather than assuming you need a second ITIN. The US government’s ITIN guidance specifically says not to apply for a new number just because the old one is lost. USA.gov: lost or expired ITINs.
For a renewal, Form W-7 has a renewal application box, a reason for applying, and fields for the previous number and name. The IRS explains what to enter if the previous number is unknown. Do not invent digits to complete the form. IRS: how to renew an ITIN.
Received an SSN since your ITIN was issued?
Do not renew an ITIN after receiving a Social Security number (SSN). Use the SSN for tax purposes instead. IRS: when not to renew.
You must also notify the IRS so that records held under your ITIN can be combined with your SSN record. The IRS describes two routes: visiting a local IRS office or writing a letter. For the letter route, prepare:
- Your complete name, mailing address and ITIN.
- An explanation that you have received an SSN and want your tax records combined.
- A copy of your Social Security card.
- A copy of the CP 565 ITIN assignment notice, if available.
Check the IRS instructions for notifying a newly assigned SSN for the current mailing address. The IRS explains that it will void the ITIN and associate the earlier tax information with the SSN. Do not assume that receiving an SSN completes this notification for you.
Illustrative example: a person finds their old ITIN letter while preparing a 2026 return, but has since received an SSN. The next step is not an ITIN renewal: it is using the SSN and notifying the IRS about the earlier records.
Practical record check: keep a dated copy of the notification, its supporting copies and any reply with your tax records. Tell your return preparer what has been sent and flag any unresolved correspondence. Do not put either taxpayer number or card images into a general website enquiry.
Prepare a renewal folder
Previous records: collect the original assignment notice if available, return copies and relevant IRS letters. Add a note of any earlier renewal application and its outcome.
Current purpose: identify the return on which the number will appear, or the documented exception being considered. Keep the actual evidence supporting that purpose with the file.
Identity and changes: gather current identification and details of any name or address changes. Ask for an application-specific document list before arranging an appointment or sending originals.
A renewal generally includes a federal tax return and supporting documents unless a qualifying exception applies. If you have since received an SSN, follow the separate record-update steps above rather than renewing. IRS: Form W-7 instructions.
Coordinate renewal with the return
Using an expired ITIN can delay processing and affect certain credits until renewal. Do not assume the renewal request resolves the return’s filing or payment timetable. IRS: how to renew an ITIN.
KBA can discuss ITIN and EIN application support and the information needed for your renewal. Request a consultation with a short summary of your ITIN history, whether you have since received an SSN and the return year involved; do not include the numbers themselves. Keep full identification documents out of an initial general enquiry; agree a suitable document-sharing method first.
